A practical starting point for a more useful conversation about the way your organization works.

Clarify the next owner

A shared workspace does not replace a clear responsibility. Identify who takes the next action and what should happen when that person is away. For recurring work, use roles rather than relying only on individual names.

Agree on what ready means

A request can look complete to one team and still be unusable to another. Define a small checklist for the next step: required details, an agreed status and any supporting information. Discuss the exceptions rather than hiding them in a general comment field.

Keep decisions with the work

When a decision changes the scope, timing or ownership of a request, record it where the team follows that request. This gives the next person the context they need without asking them to reconstruct a conversation from several inboxes.

Review the difficult cases

Use a short recurring review to examine work that stalled. Look for missing information, unclear ownership or an exception that needs a different route. Change one part of the handoff and observe whether it becomes easier to follow.
