Integrations and API Planning Workbook
A useful integration has an owner, a clear direction and a plan for the day a connection fails. Use this workbook to turn a request to connect two systems into an actionable brief. Define the business event, the minimum data exchanged and the evidence that will prove the handoff works.

What you’ll take away
- 01
Start with a business event
Connecting tools is not an outcome by itself. Describe the manual handoff you want to replace and its destination result. Begin with one direction and one record type before considering broader synchronization or additional dependent workflows.
- 02
Write a one-workflow integration contract
Complete this register with both system owners before implementation. It is a planning contract, not an API schema. Confirm the real endpoints, authentication, supported events and limits with the relevant providers rather than assuming their availability.
- 03
Test failure as part of the normal journey
Use a hypothetical approved record and a controlled test environment. Agree the expected outcomes before running these cases. A connection that works once is not enough; staff need to understand duplicates, delayed delivery and corrections after transmission.
- 04
Review the responsibilities behind the connection
A working interface still needs agreed access, support and reconciliation. Review these questions with both system owners and the people who handle exceptions. Capture unknowns as decisions to resolve, rather than treating them as implementation details to discover later.
- 05
Deliver one handoff before expanding
A bounded integration is easier to verify and operate. Start with the event that removes a clear manual handoff, then review its evidence before adding more fields, directions or systems. Keep the support model part of the delivery scope.
